Calendar usage and configuration guides

Google Calendar is our primary tool for scheduling meetings and events. You can access the app via the G Suite SSO Calendar tile in your Okta Dashboard or by directly going to the Calendar page.

Calendar Access Requests

You can use this AR template to request the following:

  • Deletion of a calendar event
  • Access to someone’s calendar

Create a Calendar Event

  1. Open Calendar
  2. On the top-left of the screen, click on the + Create button, followed by Event
    1. Alternatively you can also click directly on the time-slot where you’d like to schedule the event
  3. Customize the event by specifying a title, adding guests, and selecting which video conferencing option you’d like to use

Create Out of Office Events

  1. Open Calendar
  2. On the top-left of the screen, click on the + Create button, followed by Out of office
  3. Specify the timeframe for the Out of office event
  4. Specify how you would like to handle meeting invites while you are out of office

Access Permissions for Events

  1. Open Calendar
  2. Open the Settings by clicking on the gear icon near the top-right of the screen, followed by Settings
  3. On the left-hand-side, under Settings for my calendars select the calendar you want to modify the visibility settings for
  4. Click on Calendar settings followed by + Add people and groups
  5. Under Access permissions for events you can modify how people inside of GitLab and external partners can view your events

Important!

It is not possible to share a detailed view of your primary calendar's events with people outside of GitLab (i.e no @gitlab.com email address)

Set Up Calendar Delegation

  1. Open Calendar
  2. Open the Settings by clicking on the gear icon near the top-right of the screen, followed by Settings
  3. On the left-hand-side, under Settings for my calendars select the calendar you want to delegate access to
  4. Click on Shared with followed by + Add people and groups
  5. Select the people our groups you would like to add as delegates and the permission level they should have

Subscribe to Calendars

  1. Open Calendar
  2. Locate the Other calendars section on the left of the screen
  3. Click the + button and select Subscribe to calendars
  4. Enter the email address of the user or group whose calendar you’d like to subscribe to
